The collection has been arranged by negatives and prints, with the negatives first followed by the corresponding reference prints. The negatives and prints used in the book are organized by photo number as they appeared in the publication; therefore, a patron can use the postcard book as a finding aid for the photographs used in the book. The negatives and prints not used in the book are arranged alphabetically by geographic location. Many of the negatives (some 4"x5" and 35 mm) contains two images. These double image negatives create an arrangement and description problem. In these cases, the negatives not assigned a number have been indexed by geographic location. These indexes follow the finding aids to the negatives.

There are three boxes of negatives and two boxes of prints. The majority of the negatives from the book are in the collection. However, there are a limited number from the collections of other institutions and therefore are restricted. These negatives were retained by the institutions, which have custody of the original postcard. There are a few negatives which are missing. There are reference prints for approximately one half of the negatives.
